Because of this technology shift, the reports that were created using earlier
versions should be upgraded, so that they can be used with the new
IFS Business Analytics
client. IFS BA Report Upgrade Utility provides
the possibility to upgrade older
reports to work with the new IFS Business Analytics version.
The tool facilitates the upgrade of reports that are stored in the local machine
or in a remote folder. Also you can use this tool to upgrade the reports that are
already saved, published or archived in IFS Applications.

IFS BA Report Upgrade Utility is
automatically installed when IFS Business Analytics client
version 3.1.x is installed. After successful installation, BA Tools
sub folder will be created under
IFS Business Analytics 3.0 folder.

IFS BA Report Upgrade Utility enables you to upgrade reports that are
saved in the local machine as well as reports that are stored in IFS Applications.
Note: Before running this process, create backup copies of
all the reports you are planning to upgrade.
- Make sure all the reports are editable (check the Read-only attribute of the files).
- Open IFS BA Report Upgrade Utility.
- Select Upgrade reports saved on disk. Click Next to continue.

- Click Add to select all the reports that
you want to upgrade. Also you can drag and drop reports to the selection area. Click
Next to start the upgrade process.

- Processing all the reports may take long. You can cancel the operation
by clicking Cancel if required.

- When the operation is completed, the result for each processed report
will be displayed as shown below.

IFS BA Report Upgrade Utility tool
can also be used to upgrade reports that are already saved, published or archived in IFS Applications,
and related to the following functional areas.
- Published/Saved BA Report Templates: These are the reports that are saved or published
in the IFS database using
Save Report or Publish Report functionality available in
the IFS Business Analytics client.
- Archived BA Reports in IFS Budgeting Process: When performing
the writeback operation for Budget Template Transaction
information source, the system stores related BA report instances in
IFS Applications. You can upgrade previously
stored reports using this utility.
- Archived BA Reports in Info Services: Scheduled or ordered report
instances are archived in IFS Reports Archive. Use this option to upgrade
these archived reports.
Note: IFS BA Report Upgrade Utility does not provide
direct functionality to upgrade reports that are attached in
IFS Document
Management. However, the following section describes how
to upgrade reports connected to IFS Document Management
using workarounds. >>
- Open the IFS BA Report Upgrade Utility.
- Select Upgrade reports saved in database.
Select one or more options from the list below.
- Published/Saved BA Report templates
- Archived BA Reports in IFS Budgeting process
- Archived BA Reports in Info services

Click Next to continue.

When the Login dialog box for IFS Applications is shown, use it to log in to the
required
environment.

Select the reports that you want to upgrade from the populated list.

- Click Next to continue.
- Processing all the reports may take long. You can cancel the operation
by clicking Cancel if required.

- When the operation is completed the result for each processed report
will be displayed as shown below.

Business Analytics reports that are connected to IFS Document Management
cannot be upgraded directly using the IFS BA Report Upgrade Utility
tool. Follow one of workarounds described below.
Workaround 1
Use this workaround If you have access to IFS/Asset Information Integration Manager™ tool provided by
Asset Information Integration Manager and if you are familiar with that. If not,
use
Workaround 2. Use this tool to export
IFS Business Analytics reports to a local folder,
then upgrade them using the IFS BA Report Upgrade Utility.
Next, upload all the reports back to IFS
Document Management using the Import functionality provided by the IFS/Asset Information Integration Manager™.
- Open the IFS/Asset Information Integration Manager™.
- Define export parameters.


- Click Export. You will get a log (informing you whether the
export is successfully performed or detailing any errors that may have
occured).
- Find exported IFS Business Analytics report files. Upgrade them using
IFS BA Report Upgrade Utility tool.

- Define import parameters and save.

- Click Import to upload upgraded reports to the server. If the documents were in
Released status in
IFS Document Management, you will find new revisions created for those.
- Open IFS Enterprise Explorer, and navigate to Document Management ->
Document Revisions window.
- The documents that are in Released status cannot be edited.
Select those documents, right-click and then click Create New Revision
to create new revisions for them.

- To temporarily change the file association of .xls and .xlsx files to IFS
BA Report Upgrade Utility, follow the steps below.
- Right-click on any .xls file and, depending on the programs installed
on your computer and complete one of the following steps:
- Click Open With to choose the
program that you want.
- Point to Open With, and then
click Choose Default Program to choose the
program that you want.
- If you clicked Choose Default Program,
the Open With dialog box will be
displayed.
- Click Browse, The file selection dialog
will be displayed.
- Navigate to the Business Analytics installation location (C:\Program Files (x86)\
IFS Applications\IFS Business Analytics by default) and select
BAReportUpgradeUtilityLauncher.exe

- Select the Always use the selected program to open this kind of file
check box and click OK.
- Repeat this operation for a .xlsx file also.
- In Document Revisions window, select the revisions that
should be upgraded. Right click and then click
Edit Document under
File Operations.
- All the files will be checked out to Local
Check-Out Path defined under User settings.
- The files will be automatically upgraded during the check-out
process.
- Select all the revisions, right-click and then click Check In
Document under File Operationsto check in upgraded reports.
- Change the file association for .xls and .xlsx files back to Microsoft
Excel.
